Hi HubSpot Community,<\/P>

Our team has a high volume of meetings, and we\u2019re exploring how to automate the process of logging meetings and capturing notes<\/STRONG> in HubSpot based on calendar data.<\/P>

\u00a0<\/P>

Here’s what we’re trying to achieve:<\/H3>

We want to build a workflow that can:<\/P>

  1. Scan a calendar event<\/STRONG> (from Google Calendar or Outlook).<\/P><\/LI>

  2. Identify external participants<\/STRONG> based on their email addresses<\/STRONG> (e.g., not from our internal domain).<\/P><\/LI>

  3. Identify internal attendees<\/STRONG> (our team).<\/P><\/LI>

  4. Automatically log the meeting<\/STRONG> in HubSpot as an engagement activity:<\/P>

    • Associate it with the correct contact(s)<\/STRONG> (matched by email).<\/P><\/LI>

    • Include the internal owner(s)<\/STRONG> who attended.<\/P><\/LI>

    • Optionally associate it with a company or deal.<\/P><\/LI>

    • Include the meeting notes<\/STRONG> captured by the team during or after the session.<\/P><\/LI><\/UL><\/LI><\/OL>

      The goal:<\/H3>

      To ensure every meeting and the relevant notes are automatically captured and logged in the CRM \u2014 reducing manual work and improving data consistency across our team.<\/P>

      • Has anyone implemented something similar?<\/P><\/LI>

      • Is this doable with HubSpot’s native workflows<\/STRONG>, or does it require custom development via API?<\/P><\/LI>

      • How do you best differentiate internal vs. external attendees from calendar events?<\/P><\/LI>

      • Any tools, templates, or practices you\u2019d recommend for capturing meeting notes<\/STRONG> alongside the event log?<\/P><\/LI><\/UL>
