Line item–based automation after Closed Won deals

Hi community,

We’ve been using a system for a few years that creates a task in Monday.com whenever a deal is marked as Closed Won. It worked well when deals contained only one service.

But now our deals often contain multiple line items, each representing a different service. This means we need one Monday task per line item, not per deal. I’ve managed to solve this part using Zapier.

The part I can’t solve is the email onboarding:

When a deal closes, we normally send an onboarding email that includes a form link.

The client fills the form, and Zapier attaches the submission to the correct Monday task.

Now that we moved to a line-item → task structure, we need to send one onboarding email per line item, each using that line item’s product’s onboarding form URL property. So, we have one dynamic email for all our services.

Ideally, when we add a new product in HubSpot, we would simply give it a “onboarding form URL” property, and HubSpot would send the right email for each line item automatically.

But I can’t find a way to trigger or personalize emails in HubSpot based on line item data.

Has anyone found a clean way of triggering based on the line item and sending one/multiple email with line items’ product’s property being a dynamic field in the email to send separate onboarding emails for Closed Won deal?

And if anyone recommending Zapier: I would like to keep this on Hubspot because we have auto follow up email sequence if the form is not submitted.

I hope I explained it clearly. I’ve been thinking about this so much that it’s starting to get confusing for me.
